Purpose: This guide walks you through configuring badge printing rules based on a visitor’s Outlook email address — typically used to auto-print badges for known or pre-approved email domains (e.g., @partnercompany.com).

🧩 Requirements

  • Access to Admin settings in your Acre visitor management or access control platform (e.g., ACT365, DNA Fusion).
  • Badge printer connected and configured.
  • Visitor check-in via email capture or Outlook invite integration.

⚙️ Step-by-Step Instructions

✅ Step 1: Verify Outlook Integration is Enabled

  1. Go to Settings > Integrations.
  2. Select Microsoft Outlook / Office 365.
  3. Ensure that the integration is enabled and connected to your organization’s account.
  4. Set permissions to allow reading of meeting invites and attendee emails.

💡 This enables the platform to recognize invite-based check-ins tied to Outlook email addresses.

🏷️ Step 2: Create a Badge Template (if not already done)

  1. Navigate to Badge Templates under Visitor Management.
  2. Click Create New Template or edit an existing one.
  3. Design the badge with dynamic fields like:
    • Full Name
    • Company
    • Email
    • QR Code or Barcode
  4. Save the template.

📋 Step 3: Configure Badge Printing Rules Based on Email

  1. Go to Settings > Visitor Rules > Badge Printing.
  2. Click Add New Rule.
  3. Set the Trigger Type to:
    • Email Domain Match (for domain-wide rules, e.g., @partnercompany.com)
    • OR Exact Email Match (for individual emails, e.g., jane.doe@client.com)
  4. Choose the associated Badge Template.
  5. Under Print Action, select:
    • Auto-Print on Check-In
  6. Assign the rule to a location, visitor type, or kiosk, if applicable.
  7. Click Save.

📥 Step 4: Test the Rule

  1. Pre-register a visitor using the matching Outlook email address.
  2. Perform a test check-in at your kiosk or via the admin dashboard.
  3. Confirm that the badge is printed automatically using the correct template.

🛠️ Troubleshooting Tips

ProblemSolution

Email address not triggering ruleDouble-check domain spelling or rule scope (exact vs domain)
Badge prints with wrong templateReview rule priority or overlapping rules

🔒 Best Practices

  • Use domain-based rules for trusted partners or vendors.
  • Combine with watchlist or access control settings for secure visitor flows.
  • Periodically audit badge rules to remove outdated or inactive entries.
